How to Account for Doors and Windows in Your Takeoff: A Painter's Guide
The wall says 320 square feet on your plans. But that's not what you're painting.
You're painting around a patio door. Over two windows with deep jambs. Beside a garage service door that needs frame touch-up too. Miss any of that in your takeoff and you're eating the cost — or losing the bid entirely.
Here's how to get it right, from someone who's stood in the same boots.
Why Doors and Windows Trip Up Even Experienced Estimators
Every painter learns fast: openings aren't free space. They're decision points.
A window doesn't mean less paint. It means cutting in. Masking. Multiple coats on jambs and sills. Sometimes removing and replacing hardware. Same for doors — especially pre-hung units with primed frames that need finish coating.
The mistake? Treating a 6'×3' window as 18 square feet of "savings." It's not savings. It's a different operation entirely.
I once watched a crew leader estimate a 4,000 sq ft exterior repaint by deducting every opening at full size. He figured he'd come in low and win the job. He won it, then lost $3,400 on labour overruns from all the detailed work he'd priced at wall-rate speed. That's not competitive bidding. That's buying work you can't afford.
Step One: Measure Gross Wall Area First
Always start with the full envelope. Ceiling to floor, corner to corner. Every inch.
Why? Because you'll deduct differently depending on the surface type, the coating system, and whether you're pricing by square foot or by labour hours. Gross area gives you a clean foundation to work from.
For interiors, measure each wall separately. Note ceiling height. For exteriors, measure each elevation. Account for gables, dormers, and any wall area below grade if it's included in scope.

Step Two: Categorize Every Opening Before You Deduct
Not all openings are equal. Group them by what actually happens on the wall:
Simple openings: Fixed windows with minimal trim. Small basement hopper windows. These deduct cleanly from wall area with minor allowance for edge cutting.
Detailed openings: Casement and awning windows with operating hardware. French doors. Sliding patio doors with extensive frame surfaces. These need their own line items.
Door units requiring full finishing: Pre-hung interior doors with primed jambs and casings. Exterior doors needing stain or full paint. These often take more labour per square foot than the wall they replaced.
Oversized or specialty: Garage doors. Commercial steel frames. Fire-rated door assemblies. Each demands separate consideration.
Walk through with your eyes open. A "standard" window in a 1970s bungalow is a different animal than the same nominal size in a new build with engineered trim packages.
Step Three: Apply the Right Deduction Method
Here's where most estimates go sideways. Choose your approach based on how you price labour.
Method A: Full Deduction for Simple Repaints
When you're rolling similar colour over sound existing paint, and trim is already finished:
- Deduct window and door openings at gross size
- Add back 10–15% of deducted area for cutting edges and frames
- Price at standard wall rate
This works for straightforward interiors where you're not touching trim.
Method B: Partial Deduction with Trim Line Items
For jobs involving door and window trim painting:
- Deduct opening at 50–70% of gross size
- Create separate line item for all trim (jambs, casings, sills, stops)
- Price trim at higher hourly rate or dedicated trim production rate
Example: A 32" interior door in a repaint with trim work. Don't deduct the full 21 sq ft. Deduct maybe 12 sq ft, then price jamb (both sides), casing (both sides), head, stop, and edge as distinct operations. That's five separate elements, each with different access difficulty and coating requirements.
Method C: Zero Deduction for Full Finish Packages
New construction or complete renovations where everything gets painted:
- Do not deduct openings from wall area
- Price wall area at rate that includes cutting and rolling around obstacles
- Price door and window units as complete assemblies with their own production rates
This prevents the mathematical gymnastics that hide real costs. A 30-door house with zero deduction and proper unit pricing often yields more accurate estimates than complex partial deductions that miss something.
The Jamb Problem Nobody Talks About About
Standard takeoff software deducts a window at its rough opening. But what's the jamb depth?
A 2×4 wall with ½" drywall each side: 4½" jambs. Standard.
But older Canadian homes? 2×6 framing with 5/8" firecode drywall and exterior stucco: 7¼" jambs. Deep. And both sides need coating, plus the sill, plus the head, plus the stool and apron if you're doing trim.
That "small" bathroom window? Might have 14 linear feet of jamb surface, not the 6 feet your software assumed.
Always verify jamb depth on site. Check one window per wall type. Note it on your field sheet. Apply across matching conditions.
Same for door frames. Commercial hollow metal with plaster returns versus residential wood jambs with drywall wrap — completely different prep and coating sequences.
Accounting for Hardware and Protection
Real costs don't show up in square footage calculations.
Masking: Windows need protection for overspray or roller splatter. Time to apply and remove. Plastic, tape, paper — material cost plus labour.
Hardware removal/replacement: Quality repaint often requires removing locksets, deadbolts, window operators, shutter dogs. Who does it? How long? What's the liability if something breaks?
Drop cloth navigation: Working around a door opening means moving protection constantly. Not in your standard production rate? It should be.
I add 0.15 hours per window for masking and protection on spray jobs. Per door, 0.25 hours if hardware stays, 0.5 if we pull it. These numbers came from timing actual crews, not from a manual.
Site Conditions That Change Everything
The same opening specification behaves differently depending on context:
Furnished occupied home: Tight access, fragile surroundings, work hours restricted. Every window takes longer.
New construction, other trades active: Protection from damage, coordination delays, rework from others' mistakes. Price accordingly.
Heritage properties, pre-1950s: Irregular openings, lead paint considerations, non-standard hardware. Never assume standard production rates apply.
Winter exterior work in Canada: Short days, heated enclosures, slower curing. That garage door repaint in February? Different animal than July.
Your takeoff isn't just geometry. It's predicting how the work unfolds in real conditions.
Common Mistakes That Kill Margins
Deducting garage doors at net opening. A 16'×7' overhead door has track, frame, and often a man door cut in. You're not painting the panel (usually), but you're definitely painting or refinishing surround trim. Don't give away that labour.
Ignoring transoms and sidelites. That front door with 12" sidelites each side and a fanlight above? Not one opening. Potentially four separate glazed areas with complex trim. Count each.
Forgetting fire ratings. Fire doors in commercial work often have intumescent seals, special hardware, and restrictions on coating thickness or type. Mistake here isn't just unprofitable — it's a code violation.
Assuming "paint included" means same spec everywhere. Window sills take abuse. Door edges see wear. Often these need harder finish, different sheen, additional coats. Your takeoff should flag these for specification review, not blindly extend wall coating.
From Paper to Price: Building Your Estimate
Here's my sequence on a typical residential repaint:
- Field measure every room, note ceiling height, document all openings with phone photos
- Sketch each room with opening locations marked
- Calculate gross wall area
- Classify each opening (simple/detailed/full finish)
- Apply appropriate deduction method by category
- Add line items for trim, jambs, protection, hardware
- Apply site condition factor (1.0 baseline, 1.15 occupied, 1.3 heritage/complex)
- Review against comparable completed jobs
Step 7 saves me regularly. Basements with 8 windows and bulkheads around every one. Third-floor bedrooms with sloped ceilings creating odd wall geometry. These aren't exceptions — they're normal, and they need real time allocated.
When Software Helps and When It Doesn't
Digital takeoff tools speed measurement. But they don't see what you see.
A plan shows a rectangle labelled "WD1." You need to know: fixed or operable? What trim package? Existing or new? What finish level? Software assuming standard deduction wastes no time making wrong assumptions at scale.
The best estimators I know use software for speed, then overlay judgment from site experience. They spot-check critical rooms manually. They maintain a personal database of actual production rates from their own jobs, updated quarterly.
Getting This Right Changes Your Business
Accurate door and window accounting separates estimators who survive from those who thrive.
Underbid the detailed work and you train clients to expect cheap prices while you burn out crews working unpaid hours. Overbid simple conditions and you never land the straightforward jobs that keep cash flowing.
The sweet spot comes from specificity. Treat each opening according to what it actually demands. Build real labour and material into every element. Document your assumptions so you learn when you're wrong.
Most importantly, visit the site. Plans lie. Photos help. Standing in the room tells you things no software captures — the awkward window behind the radiator, the door that opens against a staircase, the old sill that's clearly been patched twice already.
