Privacy Policy

What we collect

We collect the minimum information needed to provide the service and communicate with you.

• Waitlist submissions: Name, work email, company name, phone number (optional), monthly volume, and a description of your estimation challenges. Collected when you submit the waitlist form.
• Account information: Email address, name, and company — set when your account is created. Passwords are stored as secure hashes; we never store plaintext passwords.
• Uploaded drawings: PDF files you upload through the app. These are processed to generate your takeoff and stored on our servers.
• Usage data: Which features you use, when you use them, and basic session information. Used to improve the product and diagnose problems.

How we use it

• To provide the takeoff service — processing your drawings and returning results.
• To contact you about your waitlist application, account status, and product updates.
• To improve our AI pipeline — using anonymized, aggregated data to improve accuracy. We do not use your specific drawings to train third-party AI models.
• To troubleshoot problems and respond to support requests.

How we store it

All data is stored on infrastructure we control. We do not use shared public cloud AI services that retain customer data. Access is restricted to authorized personnel only.

We use standard encryption in transit (HTTPS/TLS) and at rest for sensitive data including uploaded files and account information.

Third-party services

We use a limited set of third-party services to operate the product:

• AI processing: Some AI capabilities are powered by external model providers. Customer drawing data is not retained by these providers beyond the immediate processing request and is not used to train their models.
• Infrastructure: We run on controlled server infrastructure. No data is stored on uncontrolled third-party platforms.

We do not sell, rent, or share your personal data with advertisers or data brokers. Ever.

Data retention

• Waitlist submissions: Retained until you request deletion or your application is resolved.
• Account data: Retained for the life of your account plus 30 days after closure.
• Uploaded drawings: Retained while your account is active and for 90 days after account closure, then permanently deleted. You can request earlier deletion at any time.
• Takeoff results: Stored with your account. Deleted when your account is closed.

Your rights

You have the right to:

• Request a copy of the data we hold about you.
• Request deletion of your account and associated data.
• Correct inaccurate information in your account.
• Withdraw consent for marketing communications at any time.

Cookies

We use session cookies to keep you logged in. We do not use advertising cookies or cross-site tracking. There is no cookie consent banner because we don't do the things that require one.

Canadian Privacy Law

VectorTakeoff is a Canadian company. We handle personal information in accordance with the Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial privacy legislation. We collect, use, and disclose personal information only for purposes that a reasonable person would consider appropriate in the circumstances.

Changes to this policy

We'll notify active users by email if we make material changes to this policy. The "last updated" date at the top of this page will reflect any updates.
